CPA-ready Export packages one tax year of your REPSLog entries into PDF, Excel and CSV files, optionally with every receipt and photo you attached, and emails you a download link. It is built for real estate investors who need to hand a REPS or STR loophole log to their CPA, and it runs on iPhone, Android and the web app on every plan.

What it does

Open Settings and tap Export My Log. The screen asks for three things:

  • Tax Year. A picker listing only the years in which you have entries. One export covers one calendar year, January 1 to December 31, by the date each activity was performed.

  • Include supporting evidence attachments. A checkbox. When on, every file attached to an entry in that year is added to the download.

  • Include timestamps (date and time the entries were added). A checkbox. When on, each row also shows when the entry was created and last updated, which is how you demonstrate that the log was kept as you went rather than written at tax time.

  • Include Schedule E summary (hours by property, for your CPA). A checkbox. When on, the download gains one more PDF that opens with a block per property, in the order Schedule E lists properties, before the full entry table.

Tap Export My Log. The screen shows the export status and “You’ll receive an email with your files once ready.” When it completes, the download link goes to the address you sign in with, and the screen shows Check your Inbox with a Click here link that copies the same access link. The link is good for 7 days; the screen shows how many remain. View Last Export brings the finished export back later, and Start a New Export begins another.

The download is a single ZIP file named for the tax year (for example 2025-export.zip). Inside:

  • ltr_entries.csv and ltr_entries.pdf: your long-term rental entries.

  • str_entries.csv and str_entries.pdf: your short-term rental entries. Each pair is only included if you have entries of that type.

  • entries.xlsx: one Excel workbook with the same tables as sheets (LTR Entries, STR Entries, Properties), the header row frozen and filterable, and Hours Spent stored as a number so a SUM works without cleanup.

  • properties.csv: your property list with addresses, mostly useful for troubleshooting.

  • media/: your attachments, only when you ticked the attachments box.

  • schedule_e_summary.pdf: only when you ticked the Schedule E summary box. One block per property (A, B, C, by hours) with the property’s total hours, the test it is tracked against and the hours that count toward it, hours by category and hours by participant; then the same entry table as the other PDFs. Long-term rentals on the 750 or 500-hour goal get one combined line at the top. Short-term and long-term properties sit in the same document, which is how a CPA works through Schedule E. It is not a completed Schedule E: income, expenses, depreciation and rental days are not tracked in REPSLog.

Each CSV has these columns: Property Address, Date, Hours Spent, Description of services performed, Who Performed the Activity, Category, Supporting Evidence, Supporting Evidence Notes, Entry ID and Property ID, plus Created At and Updated At when timestamps are on. Hours are decimal (1.50 for 90 minutes), dates are month/day/year, and rows run newest to oldest. Each PDF is a landscape letter-size table titled “REPSLog Export” with the tax year under it, page numbers, and the columns Date, Hours, Property Address, Description, Performed By, Category and Files (plus Created At and Updated At with timestamps). Long attachment notes are shortened in the PDF; the CSV always has the full note.

How it works

  1. Open Settings and tap Export My Log. On the web app the same screen opens in the settings area.

  2. Choose the Tax Year. If you have not logged anything yet the screen says so and there is nothing to pick.

  3. Tick Include supporting evidence attachments if your CPA wants the receipts and photos.

  4. Tick Include timestamps (date and time the entries were added) if you want created and updated times on every row. Most CPAs do.

  5. Tap Export My Log. The status updates on screen; large numbers of attachments take longer.

  6. Open the email and download the ZIP, or come back to the screen and tap Click here to copy the access link. On an older app version without clipboard support the screen tells you to update the app to get the link.

  7. Unzip it. Read the PDF, open entries.xlsx in Excel or Numbers, or the CSV in Google Sheets, to sort and total. Forward the ZIP to your CPA.

Why it matters for your hours

Whether you are claiming REPS with the 750-hour test or material participation in a short-term rental with the 500-hour or 100-hour test, the IRS expects a contemporaneous record of what you did, when, for how long and on which property. The export is that record in a form your CPA can file with your return or keep for audit defense. The PDF is readable as is; the CSV lets your CPA total by property, category or participant in a spreadsheet.

Two options do the heavy lifting. Timestamps show each entry was created near the date of the work, which is the difference between a log and a reconstruction. Attachments put the invoice, receipt or photo next to the hour it supports. Which hours qualify is your CPA’s call; the export makes sure they have everything to make it.

If you are a short-term rental host using the STR loophole, this is the file your CPA works from. Your STR entries arrive in their own str_entries.csv and str_entries.pdf, apart from any long-term rentals, and every row carries the Property Address, so a CPA can filter the CSV to the cabin, then to the condo, and total each toward the 100-hour test. The Who Performed the Activity column puts the cleaner’s or co-host’s hours you logged as participants next to your own, which is what the “more than anyone else” comparison needs. Timestamps then show each entry was logged near the turnover, not reconstructed in March.

Good to know

  • Every plan, including Free. There is no upgrade needed to export.

  • iPhone, Android and web app. The screen and the files are identical on all three.

  • Up to 10 exports a day. After that the screen says “You’ve reached the daily export limit. Please try again tomorrow.” Each export also waits for the previous one to finish.

  • Download links expire after 7 days. Run a new export if a link has lapsed; your entries are unaffected.

  • One tax year per export. Run it once for each year you need.

  • Short-term rentals are exported separately. An Airbnb or Vrbo host with only STR properties gets the str_entries files and no ltr_entries files.

  • Deleted entries are not included. Hidden categories and participants still appear on the entries that use them.

  • Delegates can export. If someone with access to your account runs an export, the email goes to them with you in copy.

  • Attachment notes are in the export, in the Supporting Evidence Notes column of the CSV and, shortened, in the Files column of the PDF. No AI is involved in the export itself.

Frequently asked questions

Can I export my REPS hours to PDF for my CPA?

Yes. Export My Log produces a PDF table per rental type (long-term and short-term), matching CSV files, and one Excel workbook with the same tables as sheets, in one ZIP emailed to you.

Does REPSLog export to Excel?

Yes. Every export ZIP includes entries.xlsx, a workbook with a sheet per table (long-term entries, short-term entries, properties). Hours Spent is a number in the sheet, so totals and pivot tables work straight away.

Does the REPSLog export include receipts and photos?

Yes, when you tick Include supporting evidence attachments. Every file attached to an entry in the chosen tax year is added to a media folder in the ZIP, and the CSV lists the file names next to each entry.

Can I export a full year of entries at once?

Yes. Pick the Tax Year and the export covers every entry performed from January 1 to December 31 of that year.

Does the export show when each entry was created?

Only if you tick Include timestamps. Then each row carries Created At and Updated At, in the CSV and the PDF.

How do I get the export if the email never arrives?

Return to Export My Log and tap Click here to copy the access link, then paste it into a browser. The link works for 7 days.

Does the export show hours per short-term rental?

Yes. Short-term rental entries are exported in their own str_entries CSV and PDF, and every row has the Property Address, so you or your CPA can sort or filter by property and total the hours for each rental. Tick Include Schedule E summary and the totals per property are done for you, in a separate PDF.

Is there a Schedule E summary in the export?

Yes, as an option. Tick Include Schedule E summary on Export My Log and the download gains schedule_e_summary.pdf: one block per property, laid out the way Schedule E lists properties, with hours by category and by participant and the hours that count toward each goal. It is not a filled-in Schedule E; income, expenses and rental days are not tracked in REPSLog.

Is the REPSLog export a good alternative to sending my CPA a spreadsheet?

Yes. Your CPA gets a PDF report, an Excel workbook and a CSV per tax year, split by long-term and short-term rentals, with the receipts included if you tick the box, in one zip from one link.
