Evidence Attachments let you keep the proof next to the hours: a photo of the receipt, the contractor’s invoice as a PDF, a before-and-after shot of the repair, attached to the REPSLog entry they support. It is for real estate investors who log hours for REPS or the STR loophole and want an audit file that shows what was done, not only how long it took. Attachments work on iPhone, Android and the web app, on every plan.

What it does

Every entry form has an Add Supporting Documents section with the prompt “Upload images, receipts or documents to support your activity.” Tap Upload Image/Document to add the first file; after that the button reads Add More.

On iPhone and Android the button opens a sheet with three choices: Upload Photos (pick from your photo library, several at a time), Upload Documents (pick a file), and Take Photo (open the camera, which asks for camera permission the first time). On the web app the button opens your browser’s file picker directly.

Supported files are images (JPEG, PNG, GIF, and HEIC photos from an iPhone, which are converted to JPEG), PDF, Word (.doc, .docx) and Excel (.xls, .xlsx). Anything else is refused with “Unsupported file type. Please attach an image, PDF, Word, or Excel file.” Images and documents can each be up to 10 MB. Photos are scaled down to at most 1024 pixels on the longest side before upload, which keeps a receipt legible and uploads fast. For an Airbnb or Vrbo host that covers supply receipts, turnover photos, cleaner invoices and payout statements saved as PDF.

Each attachment appears as a tile in a horizontal strip on the entry. Tap an image tile to open it full screen on iPhone or Android, or in a new browser tab on the web app. Tap a PDF tile to open it in the built-in PDF viewer on native, or in a new tab on web. Word and Excel files show as a document tile with the file name. Every tile has a delete control and a note icon: tap it to write up to 1,000 characters describing the file, and the icon fills in once a note exists. Notes are on every plan; on Premium the note sheet also offers Generate AI description for photos and PDFs (see AI Receipt and Document Reading).

In the entry log, entries that carry files show a paperclip icon on the row. When you delete an entry, its attachments are deleted with it.

The CPA-ready export is a ZIP with your CSV and PDF reports plus a media folder holding every attached file; the CSV and the PDF report list each entry’s file names with their notes.

Free and Starter allow 1 attachment per entry, Premium unlimited. Select more than your plan allows and REPSLog keeps the first and says “Your plan allows only 1 attachments per entry. Some files were not added.” Add More at the limit opens the upgrade screen.

How it works

  1. Open an entry, or start a new one from + Add.

  2. Scroll to Add Supporting Documents and tap Upload Image/Document.

  3. On iPhone or Android, choose Take Photo, Upload Photos or Upload Documents. On the web app, pick the file in the browser dialog.

  4. The file appears as a tile. Tap the note icon on the tile to describe it, then tap Save on the note sheet.

  5. Tap Add More to attach another file (Premium), or continue filling in the entry.

  6. Tap Save on the entry. The files upload and the entry shows a paperclip in your log.

  7. Later, tap any tile to view it, or run an export to get every file back in the media folder of the ZIP.

Why it matters for your hours

An hour log is a claim. A receipt dated the same day, a photo of the finished repair, or the contractor’s invoice is what turns the claim into evidence. When the IRS reviews a REPS position or a material participation claim under the 500-hour or 100-hour tests, the question is not only “how many hours” but “what proves those hours happened.” Keeping the proof on the entry, rather than in a camera roll or an email thread, means the export you hand your CPA already contains it.

It also keeps the record contemporaneous: the receipt snapped on the day, into the entry for that day, is the kind of log examiners find credible. Ask your CPA which kinds of evidence carry the most weight for your situation; REPSLog will hold whatever they recommend.

If you host on Airbnb or Vrbo and use the STR loophole, the test runs per property: 100 hours in the year, and no one else, including your cleaner, co-host or manager, putting in more than you. Attachments give each of those hours a paper trail. The receipt for linens and supplies goes on the restocking entry, the turnover photos on the cleaning entry, the payout statement on the month’s admin entry. Log the cleaner’s invoice on an entry with Cleaner as the participant and their hours sit in that property’s breakdown next to yours, with the invoice as the proof behind the comparison.

Good to know

  • On every plan. Free and Starter: 1 attachment per entry. Premium: unlimited attachments per entry.

  • File types: images (JPEG, PNG, GIF, HEIC), PDF, Word (.doc, .docx), Excel (.xls, .xlsx). Maximum 10 MB per file.

  • Photos are resized to at most 1024 pixels on the longest side; only the resized copy is uploaded.

  • Images and PDFs open in the app on native and in a new tab on web. Word and Excel files are stored and returned in your export.

  • Notes: up to 1,000 characters per file, on every plan, included in the export.

  • Privacy: attached files are stored in your account and are not read by any AI unless you tap Generate AI description on a file or turn on Smart Search Attachments in Settings, AI and Privacy.

  • Read-only team members can view attachments and their notes but cannot add or delete them.

  • Duplicating an entry does not copy its attachments.

Frequently asked questions

Can I attach receipts to my REPS hours in REPSLog?

Yes. Every entry has an Add Supporting Documents section: take a photo, pick one from your library, or upload a PDF, Word or Excel file.

What file types can I attach in REPSLog?

Images (JPEG, PNG, GIF, HEIC), PDF, Word (.doc, .docx) and Excel (.xls, .xlsx), up to 10 MB each. Other types are refused.

Are my attachments included in the export?

Yes. The export ZIP contains a media folder with every attached file, and the CSV and PDF reports list each entry’s files and their notes.

Can I add more than one attachment to an entry?

On Premium, yes, with no limit. Free and Starter allow one attachment per entry; the app tells you when extra files were not added.

Can I take a photo of a receipt directly in the app?

Yes, on iPhone and Android: tap Upload Image/Document and choose Take Photo. The app asks for camera permission the first time. The web app uploads from your computer.

Does REPSLog read my receipts with AI?

Only when you ask it to: by tapping Generate AI description on a file, or by turning on Smart Search Attachments. Otherwise, attachments are stored and never processed.

Can I attach my Airbnb cleaner’s invoice to my STR hours?

Yes. Attach the invoice as a photo or PDF to the cleaning entry and pick Cleaner as the participant. The file is returned in your export, and the cleaner’s hours appear in that property’s participant breakdown for the 100-hour comparison.

Is REPSLog a good alternative to a shared folder of receipts?

Yes. A folder of receipts is evidence with no link to the hours. In REPSLog each receipt sits on the entry it supports, is read and described, and ships inside the export next to the entry.
